We have an exciting opportunity for a Junior Lettings Administrator role in a London-based Real Estate firm. The company specialises in developing, dealing in, and managing projects in all housing and hospitality industries, including luxury houses, hotels, rehabilitation, luxury residences, apartments, and student housing. They are searching for a Lettings Administrator who can "hit the ground running" and assist in implementing new processes to support the team.
Job Requirements:
-Excellent IT abilities, including Microsoft Word, Excel, and Outlook.
-Excellent communication skills and a confident telephone manner.
-Strong communication skills in both oral and written English are essential.
-Entrepreneurial Attitude.
-Outstanding time management skills, including the capacity to prioritise and organize tasks.
-A minimum of 2 years of experience in the lettings industry is required.
-Working under significant time constraints to accomplish deadlines.
-Willingness to assist the office in any way required.
Job Responsibilities:
-Handling phone and email inquiries on behalf of the lettings team and escalating to -the appropriate team member if necessary.
-In charge of the lettings team's property portal management.
-Managing property management issues and maintenance requests for landlords and tenants.
-Scheduling necessary maintenance.
-Keeping and updating the property databases.
-Perform all administrative tasks in support of the Negotiators, such as creating Tenancy Agreements, sending reference requests, and registering deposits.
-Support the property manager with administrative responsibilities such as calling utility companies to notify them of tenants moving in or out.
-Contribute to business development and relationship management.
-Investigate and implement new systems to improve team efficiency.
-Coordinating closely with the accounting division to assist with questions regarding rental payments or deposits.
-Collaborating with the property manager to verify that all Gas Safety permits and EPCs are updated.
-Other ad hoc responsibilities.
